1: Create Learning Plans
What is a Learning Plan?
A Learning Plan is a curated bundle of courses that you assign as a single unit. Rather than assigning individual courses one by one, a learning plan lets you define a curriculum — for example, an onboarding program for new RBTs, or an annual compliance training requirement for your clinical staff.
Employees assigned a learning plan can see all the courses in the plan, their progress on each course, and their overall completion status.
Important: Once a learning plan has been assigned to any employee, the courses inside it and the completion requirements cannot be edited. Finalize your plan before assigning it.
Step-by-Step: Create a Learning Plan
| 1 | From the Learning Hub navigation, go to Learning Plans. |
| 2 | Click the button to create a new Learning Plan. |
| 3 | Enter a name for the learning plan and description. Use a name that clearly identifies its purpose and audience — for example: RBT Onboarding 2026 or Annual CEU Requirements — Clinical Staff. |
| 4 | Add courses to the plan. Click Add Content button at the bottom right and browse or search your organization's course library. Only courses with the following statuses are available to add: Published, Published Internal, Not For Sale, Unlisted. |
| 5 | Set completion requirements. After adding content, define what the employee must accomplish to be marked as complete for the entire plan. Options include requiring all items in the plan be completed or completing a set number of items from the list of courses. For individual content items (i.e., those items that are not part of a learning plan) click the checkmark box to select required content. |
| 6 | Save the learning plan. After completing the learning plan, click the red Save button in the upper right. The plan status will be Active, meaning it is available to assign to employees. Once a learning plan is created the only edits you can make are to the title and description. You will not be able to add or remove content or change completion requirements. |
Learning Plan Status Reference
| Field / Option | Description |
| Active | The plan can be assigned to employees. New assignments can be created. |
| Archived | The plan can no longer be assigned to new employees. Employees who already have this plan assigned are not affected — their progress and access continue as normal. |
| Draft | The plan is currently under construction and all fields and requirements can be edited. New employee assignments cannot be added while a plan is in draft. |
2: Assign Content to Employees
Overview
You assign training content to employees using the bulk content assignment wizard. This wizard lets you assign multiple pieces of content to multiple employees in a single action.
You can assign:
- One or more Learning Plans
- One or more individual courses
- A combination of learning plans and individual courses — all in the same wizard session
Step-by-Step: Assign Content Using the Bulk Wizard
| 1 | From the Learning Hub navigation, go to Content Assignments. |
| 2 | Click New Assignment to open the bulk assignment wizard. |
Wizard Step 1 of 3 — Select Content
| 3 | Browse and select the content you want to assign. You can select multiple learning plans, individual courses, or both. Use the View Details button on any learning plan to review its courses before selecting it. |
Only the following content statuses will appear in this list:
- Published
- Published Internal
- Not For Sale
- Unlisted
| 4 | Click Next to proceed to employee selection. |
Wizard Step 2 of 3 — Select Employees
| 5 | Use the filters to narrow the employee list. Filter by employment tag, security group, supervisor, or other criteria to find the right group. This is where your employment tags become very useful. |
| 6 | Select the employees to assign this content to. Check individual employees or use the Select All option to select everyone currently visible in the filtered list. |
| 7 | Click Next to proceed to assignment details. |
Wizard Step 3 of 3 — Assignment Details
| 8 | Set the Assignment Date. This is the date the content becomes visible to employees in their My Content list. Defaults to today. Set a future date if you are planning ahead and do not want employees to see the content yet. |
| 9 | Set a Due Date (optional). If set, employees who have not completed the content by this date will see an Overdue status — but only if the content is marked as Required (see next step). |
| 10 | Set Required or Optional for each piece of individual content. Learning plans have their own completion requirements defined at the plan level. For individual courses, choose whether each is required. |
| Field / Option | Description |
| Required | Employees must complete this content. If a due date is set and it passes, the status will show as Overdue. |
| Optional | Employees are encouraged but not required to complete this content. It will never show as Overdue, regardless of due date. |
| 11 | Add Notes (optional). Any notes entered here will be associated with the assignment. Use this to communicate context to the employee or for your own recordkeeping. |
| 12 | Set the Email Notification preference. Choose whether employees receive an email on the assignment date letting them know they have been assigned new content. If the assignment date is in the future, the email will be held and sent on that date automatically. |
| 13 | Click Create Assignments to complete the process. All assignments will be created for the employees selected in Step 2. |
Assignment Rules — Important Details to Know
| Field / Option | Description |
| Individual course + later added to a Learning Plan | If an employee already has an individual course assigned, and you later assign a learning plan that contains that same course, the existing assignment is automatically absorbed into the plan. No duplicate is created. |
| Same course in two different Learning Plans | If the same course exists in two plans and you assign both plans to an employee, two separate assignment records are created — one per plan. The employee's progress on that course applies to both. |
| Assigning the same content twice | If you assign an individual course or a learning plan to an employee who already has it, the system ignores the duplicate. The original assignment and due date are not changed. |
| Removing an assignment | Removing a content assignment does not delete any CEU records or completion history from the employee. Only the assignment link is removed. |
3: Monitor Assignments and Track Progress
Viewing the Content Assignments List
The Content Assignments page gives you a full view of all training assignments across your organization.

| 2 | Use the Learning Plans and Individual Content tabs to switch between views. Learning Plans tab shows all learning plan assignments. Individual Content Items tab shows standalone course assignments. |
| 3 | Use the search and filter controls to find specific assignments. Filter by employee name, content name, status, date range, and more. |
Note: If you select a Learning Plan in the filter, the Individual Content tab will ignore that filter and show all individual assignments instead. A message will appear explaining this behavior.
| 4 | Click any Learning Plan row to expand it. This shows all the individual courses within that plan and the employee's progress status on each one. |
Understanding Assignment Status
| Field / Option | Description |
| Not Started | The employee has not begun the content. |
| In Progress | The employee has started the course but has not yet met the completion threshold. |
| Complete | The employee has met all requirements for completion. For courses with a quiz, this means both the playback threshold and quiz requirements are met. |
| Overdue | The assignment is required, a due date was set, the due date has passed, and the content has not been completed. |
Note: Status updates to Complete immediately when requirements are met. All other status changes (In Progress, Overdue) are updated by an automated background job that runs approximately every 10 minutes.
